Job Title: Executive and Development Assistant
Classifications:

Compensation:

$19.38 per hour ($40,316.88 annually) DOE

Benefited: Yes, including medical and dental

Hours: Normally 40 hours per week

Normally Monday through Friday 8:30 a.m. to 5:00 p.m. (exact times may vary according to agency and department needs)

Program Description

The San Francisco Conservation Corps (SFCC) is a non-profit job readiness and education program serving young adults between the approximate ages of 18 and 26 who work within crews to address community needs through service and conservation-related work. SFCC job readiness opportunities for young adults include, but are not limited to, landscaping, restoration, installing play structures at public schools and community centers, recycling, and internships. Concurrently and in partnership with the John Muir Charter School, the young adults focus on attaining their High School Diploma and GED or participate in the Corps-to-Career higher education program.

Job Summary

The Executive and Development Assistant is responsible for providing administrative support and coordination to the Executive Director.

Essential Duties and Responsibilities

These include but are not limited to:

  • Assistant to Executive Director (constant – more than 66% of time): Manage Executive Director’s calendar; make reservations; organize meetings and conference calls; maintain database of SFCC contacts and provide contact information when requested.
  • Board Member Management (occasional to frequent – 25-55% of time): Maintain Board rosters; assist in the orientation of new Board members; maintain communication with all Board members; work with the Mayor’s office to keep membership terms up to date; coordinate and announce Board meetings; prepare and mail meeting notices and agendas; transcribe meeting minutes.
  • Donations Management (frequent – 34-66% of time): Maintain database of donors and donations (Raiser’s Edge); manage and update donor records; analyze donation trends and provide reports on donor activity; maintain log of incoming checks; compose and send thank you letters.
  • Event Planning (occasional to frequent – 25-55% of time): Work with Board event committee and staff on invite list and planning events; coordinate venues, catering and programs; manage event RSVPs; support securing sponsorships; work with advertising agency on event collateral.
  • Grant Writing Support (frequent – 34-66% of time):  Support grant writing staff with edits, attachments, and submissions; maintain file of completed grants; manage grants calendar and notify staff of grant and reporting deadlines; conduct prospect research; research background of donors and prospects; write bio sketches on donors.
  • Marketing (occasional to frequent – 25-55% of time): Be the staff liaison for marketing and ad campaigns; coordinate production, printing, and mailing of marketing collateral; keep agency informed of news and events, branding and website changes; post event photos, etc..
  • Other Administrative (constant – more than 66% of time):  Maintain files and filing systems for all Executive and Development functions; maintain Executive and Development-related data, files, and reminders; other administrative duties and responsibilities as needed.

Typical Working Conditions

Typical conditions include working in an office setting; occasional lifting up to 50 pounds, carrying, pushing/pulling more than 50 pounds; constant keyboarding, handling, and other repetitive hand motions; constant sitting; and frequent standing and bending.

Equipment Used

This position requires constant use of keyboarding, computers, multi-line telephone systems, photocopiers, fax machines, printers, and other electronic office equipment.

Minimum Education and Experience Required

  • High School Diploma required. B.A. Preferred. Degrees in English, Communications, or Marketing preferred.
  • Minimum two years of successful experience in executive assistance and/or office administration and management; more than two years experience highly preferred.
  • Proficiency with Raiser’s Edge mandatory
  • Proficiency with Microsoft Office applications, email, internet and database software
  • Understanding of non-profit environments; interest in the youth sector a plus
  • Experience in fundraising principles, techniques and ethics
  • Demonstrated ability to organize work load, maintain several projects of equal priority at once, and sustain productivity and accuracy under pressure
  • Demonstrated knowledge of general office procedures and equipment
  • Understanding of working with and maintaining confidential information

  • Ability to conduct accurate and thorough research utilizing a variety of resources
  • Strong understanding and application of computer technology to efficiently accomplish work
  • Ability to work independently using good judgment, resourcefulness, and initiative
  • Strong interpersonal skills; ability to develop and maintain effective working relationships with staff, volunteers, and the general public
